The background

The firm's Annual Returns & Beneficial Ownership (AR&BO) compliance process was rule-based and recurring, but ran on manual touchpoints: logging into multiple systems, downloading and reformatting reports, cross-checking company registration data, chasing clients for missing information and preparing submissions. That meant risk of human error, inconsistent record-keeping and significant administrative overhead for the compliance and finance teams.

What we did

We built an intelligent automation solution, combining RPA-style bots with system integrations, that pulls and standardises client reports from internal systems, cross-references company registration data against the relevant government registry, flags outstanding requirements like missing years or documentation, gathers client contact details and manages follow-ups, and handles the end-to-end beneficial-ownership verification workflow — from identifying requirements to preparing mandates and client correspondence — escalating non-responsive clients through automated reminder sequences.
